Job Description:

We are seeking a candidate to provide comprehensive secretarial and administrative services to the General Counsel. The role involves managing appointments, maintaining diaries, arranging meetings, handling travel and venue bookings, organizing events, liaising with IM to support IT needs, welcoming guests, and assisting in meeting preparations and presentations. Additionally, the candidate will be responsible for preparing, formatting, and proofreading various documents, maintaining efficient filing systems, and managing communication with internal and external stakeholders.

Responsibilities:

  • Provide secretarial and administrative support to the General Counsel.
  • Manage appointments, diaries, and meetings.
  • Arrange travel and venue bookings, and organize events.
  • Liaise with IM to support IT needs.
  • Welcome guests and assist in meeting preparations and presentations.
  • Prepare, format, and proofread documents.
  • Maintain efficient filing systems for both hard and electronic copies.
  • Communicate regularly with the General Counsel’s direct report.
  • Act as a liaison with internal departments and external stakeholders.
  • Support document and presentation preparation, and take meeting minutes.
  • Organize conferences, including venue, transport arrangements, and guest speakers/facilitators.
  • Manage calendars and monitor deadlines for legal processes and proceedings.
  • Coordinate with the General Counsel’s direct reports to understand their workloads, requirements, leave schedules, and support structures.
  • Manage travel arrangements and support booking business trips, as well as assist with collating and submitting team member’s expenses.
  • Coordinate efforts towards closer alignment with team assistants supporting the General Counsel’s direct reports.
  • Provide administrative support and assist with onboarding new staff.
  • Work closely with the Legal Manager: Upstream Integration to ensure alignment and support the implementation of new processes and initiatives.
  • Serve as the health and safety representative, attend safety meetings, and coordinate safety training.
  • Handle sensitive information confidentially, maintaining professionalism and responsive service.
  • Undertake general duties as assigned by the General Counsel, including ad-hoc requests.
  • Support the daily requirements of the General Counsel.

Qualifications:

  • Minimum of Matric with English as a first or second language.
  • Advanced proficiency in Microsoft Word, Excel, and PowerPoint.

Technical Knowledge:

  • Understanding of the structure, workings, and operations of the Anglo American Group in South Africa.
  • Familiarity with Anglo American branding templates.
  • Proficiency in Power BI reporting, Egencia, and SAP is advantageous.
  • Excellent verbal and written communication skills in English.
  • Exceptional administrative skills with a high level of attention to detail.
  • Ability to manage work volume, prioritize tasks, and work to deadlines.
  • Maintain confidentiality and implement efficient work practices.
